1. Who these terms are for
These terms and conditions (“Terms”) govern use of TacAd (“the site”, “we”, “us”), a toolkit built for individual serving police officers in the United Kingdom. By creating an account or using the site, you agree to these Terms. If you don’t agree, please don’t use the site.
You can contact us at contact@tacad.info.
TacAd is an independent product for individual officers. It is not provided, endorsed, or operated by any police force, and references to “your force” mean the force you’ve told us you belong to, for the purpose of showing you relevant content — not any formal relationship between us and that force.
2. Who can use TacAd
TacAd is for individual serving police officers only. To register, you must:
- be a serving police officer with a valid force email address, which we verify as part of registration;
- provide accurate information about yourself, including your collar number and police force where asked; and
- be able to form a binding contract (i.e. be at least 18).
An account that hasn’t completed email verification cannot sign in. If you stop being a serving police officer, you must stop using the site and may delete your account (see Section 8); we may also deactivate or delete an account where we reasonably believe this no longer applies.
3. Your account
You’re responsible for keeping your password confidential and for everything that happens under your account. Tell us straight away at dataquality@tacad.info if you believe your account has been compromised. Two-factor authentication must be enabled from your profile.
Repeated incorrect sign-in or passcode attempts will temporarily lock an account as a security measure. We may deactivate an account that appears pending or unused for an extended period; see Section 8 for how this works and how to avoid it.
4. Subscriptions and payment
Some features require a paid subscription. Where a subscription applies:
- Payment is processed entirely by Stripe, our payment processor. We never see or store your card details.
- Subscriptions renew automatically at the end of each billing period unless cancelled beforehand, from your profile’s “Manage subscription” option.
- If a renewal payment fails, we’ll notify you and may pause premium access until it’s resolved.
- Officers from a force with a full-access arrangement in place receive premium features at no individual cost, for as long as that arrangement continues.
- Fees already paid are non-refundable except where required by law, or at our discretion.
Cancelling a subscription doesn’t delete your account — see Section 8 if you want to do both.
5. Acceptable use
TacAd is a reference and productivity toolkit — it is not a place to record operational information, investigation details, intelligence, informant information, or personal data about victims, witnesses or suspects. Several tools display an on-screen reminder of this; please follow it. You agree not to enter operationally sensitive or personal information about third parties into any free-text field (including Lock Box notes, feature suggestions, content reports, or CCTV/bail/overtime records).
You also agree not to:
- share your login credentials with anyone else, or let someone else use your account;
- impersonate another person, or misrepresent your force, collar number or role;
- use the site to harass, defame, or share inappropriate content about any individual;
- attempt to access another officer’s data, bypass access controls, or use automated tools to scrape, crawl or bulk-extract content from the site;
- reverse engineer, decompile, or interfere with the site’s security features (including its encryption, rate-limiting or two-factor authentication); or
- misuse location-sharing or FIN Finder to track or locate a colleague without a legitimate operational reason.
We may suspend or terminate an account that breaches this section — see Section 8.
6. Content on the site
Reference content. Articles, guides, public information pages and force contacts are written and maintained by Admins and Force Editors — officers given editing rights for their own force (or, in some cases, all forces). This content is provided for general reference only. It is not official force policy or legal advice, may not reflect the most current guidance, and you should always check against your own force’s official policies and procedures before relying on it operationally.
Calculators and tools. Tools such as the Bail Calculator, Overtime Tracker, CCTV Log calculator and Time Owed tracker produce estimates based on the information you enter. They’re provided to help with your own record-keeping and planning, not as a substitute for your force’s official systems, payroll, or legal timescales — you remain responsible for checking anything time-critical (such as a bail clock) independently.
Your own content. Where you submit content — a Lock Box note, a feature suggestion, a content report, or an article or guide if you’re a Force Editor — you keep ownership of it, but you grant us a licence to store, display, and (for reference content like articles and guides) edit and reassign it as needed to operate the site, including after your account is closed (see Section 8 on what happens to this content if you delete your account). Lock Box notes are private until unlocked with your private code.
We may review, edit, or remove any content that breaches these Terms or that we otherwise reasonably consider inappropriate.
7. Availability and changes to the service
We aim to keep TacAd available and accurate, but we don’t guarantee that it will be uninterrupted, error-free, or available at all times. We may add, change, or remove features, and may carry out maintenance that temporarily affects access. Where reasonably possible, we’ll try to give notice of any change that materially reduces what a paid subscription provides.
8. Ending your account
You can delete your account at any time from your profile, subject to: entering your password (and a two-factor code, if enabled); cancelling any active subscription first; and confirming you understand that articles, guides, and other reference content you’ve authored will not be deleted — it stays on the site for other officers and is reassigned to an administrator. Everything else personal to you (Lock Box, expenses, overtime records, shared locations, and so on) is removed immediately. You can download a copy of your data first — see your profile’s “Download your data” section.
We may suspend or delete an account where: you’ve breached these Terms; we reasonably believe you’re no longer a serving police officer; your account has sat unverified, pending, or deactivated for an extended period (currently three months) without being resolved; or we’re required to by law. Where practical, we’ll aim to let you know first.
Automatic cleanup. An account that remains pending (never completed verification) or deactivated for three months is automatically deleted, in the same way as a self-service deletion, unless it has an active subscription — in which case we hold it for manual review rather than deleting a paying account automatically.
9. Our liability to you
Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud, or anything else that can’t legally be limited or excluded.
Subject to that, TacAd is provided “as is” for general reference and productivity purposes. We don’t warrant that reference content or calculator outputs are accurate, complete, or current, and we’re not liable for any decision you make relying on them instead of your force’s official guidance and systems.
10. Changes to these Terms
We may update these Terms from time to time, for example as we add new features. We’ll update the “last updated” date below, and where a change is significant, we’ll let you know directly (e.g. by email) before it takes effect. Continuing to use TacAd after a change takes effect means you accept the updated Terms.
11. Governing law and disputes
These Terms are governed by the law of England and Wales, and any dispute will be subject to the exclusive jurisdiction of the courts of the United Kingdom.
If you’re unhappy with how we’ve handled a complaint, you’re also entitled to raise data protection concerns with the UK’s Information Commissioner’s Office (ICO) — see our Privacy Policy for details.
12. Related policies
These Terms should be read alongside our Privacy Policy, which explains what personal data we collect and how we look after it.
